The company's privacy policy is a set of necessary procedures that ensure the data protection of each related person (customers, employees, business contact persons, etc.) in accordance with the EU Regulation 2016/679 on personal data protection.
Personal data is any information obtained which may be directly or indirectly applied to a specific natural person, and the purpose of this privacy policy is to provide information on how and for what purposes this data is processed and what measures are taken to ensure data security and its lawful use.
Jānis Roze Ltd. recognizes the right of a person to data protection, undertakes to implement the necessary procedures for the collection and processing of personal data within the company in accordance with the applicable law, with due respect for each natural person, security and confidentiality of the information submitted.
Jānis Roze Ltd. is one of the largest trading companies of books, stationery, games and toys with a wide store network and a wide range of buyers throughout Latvia. It is important for the company not only to ensure the quality of the range of goods and services, but also to collect, use responsibly and keep safe the personal data entrusted to it.

Applicable legislation

All personal data protection procedures implemented by Jānis Roze Ltd. meets the company's internal regulations and data processing is performed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (of 27 April 2016) on natural persons’ protection in relation to the processing of personal data and Latvian State data protection legislation.
The processing of personal data in Jānis Roze Ltd. is supervised by a Data Protection Specialist. What personal data is stored in JĀNIS ROZE database?

Jānis Roze Ltd. collects and processes only the information that buyers submit about themselves, for example, by registering in the Company's online store - https://www.janisroze.lv, purchasing a "Jānis Roze Buyer's Card" or participating in one of the company's sales organized by the company.

The obtained personal data by Jānis Roze is divided into two groups:

Basic personal data. Basic personal data includes: name and surname; communication sources - e-mail and telephone number; place of residence information - city, address, postal code; consent to data processing and consent to receive individual offers.
Analytical data. Analytical data includes data obtained from a web browser - cookies.

In which cases does JĀNIS ROZE LTD. use personal data?

Personal data is used:

During customer registration in Jānis Roze online store.

In order to take advantage of all privileges and special offers for users, the fields marked with an asterisk (*) must be filled in on the registration form, indicating the mandatory identification data of a natural person. These are:

Name and Surname – for identification of a natural person;
E-mail and phone number – for communication between the online store Jānis Roze and the customer;
Confirmation of consent for the processing and use of personal data – basic condition for registration of the user in the online store and permission to process and store the data submitted by the customer;
Consent to receive news about the offer of goods – this is a voluntary choice.

This data is used to communicate with the customer, answer requests or questions related to customer orders, verify access to the user portal, restore access to the portal, as well as verify the ownership of the user account.

When a customer applies for participation in the loyalty program - Jānis Roze buyer's card.

Participation in the Jānis Roze loyalty program envisages receiving special offers and discounts in the stores of the Jānis Roze sales network. Upon registration, the Client is issued a Client Card, which is personalized and linked to a specific person.

Personal data is needed to determine who owns a particular buyer's card, as well as to communicate with the customer in case of loss or renewal of the card. When registering to receive a personalized Customer Card, the Customer must provide the following information:

Name and Surname – for identification of a natural person;
E-mail and phone number – for communication between the company and the client;
Consent to data processing – basic condition for user registration in the company's database and permission to process and store the submitted data;
Consent to receive news about the offer of goods – this is a voluntary choice;
Date and Signature - confirmation of data accuracy and consent.

The information submitted by a person for participation in the loyalty program is intended to verify the affiliation of the Customer's card to a particular person, as well as to ensure mutual communication.

Processing data of video surveillance

To take care of the safety of customers and employees of Jānis Roze Ltd., video surveillance is performed in the trade premises of the company. The obtained video surveillance recordings, i.e. the image of a natural person, the location in the trading hall, the activities and time performed there, in case of a criminal offense can be used to identify the fact of the offense and the perpetrator.

The implementation of video surveillance in trade premises is carried out for the purpose to:

Improve the safety of customers and company employees;
Obtain information in case of incident investigation;
Ensure the protection of company’s property in cases of criminal offense.

In order for Jānis Roze Ltd. customers to be informed and feel safe in the places where video surveillance is performed, appropriate warning signs are placed at the entrance of the stores.

Video surveillance takes place in real time and, by default videos are stored for up to 30 days. If a criminal offense is being detected, the video recordings are being kept for a longer period for the needs of an administrative or criminal case.

Privacy policy for cookies

Cookies are small text files that the website https://www.janisroze.lv sends to the client's Internet browser on a computer, telephone or tablet. By using the information obtained from cookies about customers’ habits of visiting the company's online store, it is possible to improve the technological processes related to data processing, speed, thus improving the website so that it works better and more efficiently.

Customer's consent to the processing of cookies:

ensures full and complete website operation;
allows the user to automatically log in to the user account;
allows the user to use sharing options with the websites Draugiem.lv and Facebook;
provides a fast and safe visit to the website;
allows continuous technological improvements for customers’ convenience.

In addition to the use of cookies, we may collect and transfer certain user-provided data (such as e-mail address or phone number) to Google Analytics and Google Ads systems, if such information is entered on our website (for example, during registration or purchase). These data are transferred in an encrypted (hashed) form and are used only for the following purposes:

to build personalized audiences for remarketing purposes.

Personal data are processed only with the Customer’s consent.

Disclosure of data

Jānis Roze Ltd. is responsible for the security of the information submitted by customers and takes care the data provided by individuals do not reach third parties without permission or legal basis. The company is obliged to provide information about the personal data at its disposal in the following situations:

If personal data is requested to be issued by law enforcement authorities, a court or other state and local government institutions, if this follows from regulatory enactments and if the relevant authorities have the right to request such information;
If the relevant party of the contractual obligation (e.g., a courier service provider) needs personal data within the framework of the concluded contract.
If the Person wishes to obtain information about his / her personal data in the company’s disposal and the purposes of their use.

Rights of the person

Request confirmation of the processing of an individual's personal data and in such cases request access to your personal data and processed information by submitting a written application to the company's Data Protection Specialist.
Request access to one’s personal data, supplement, correct, delete or restrict their processing in the database of Jānis Roze Ltd.
Request the transfer of your personal data or the revocation of your personal data.
Submit a complaint to the State Data Inspectorate regarding the detected violations in the processing of personal data.
